Registration and approval

Wholesale access usually starts with an application. Prime Lock publishes the form, stores the answers on the customer record, and gives you a queue to work through.

Publishing the form

In the app, open Registration → Publish form. The form is served through a Shopify app proxy, so it lives on your own domain at /apps/prime-lock/register and inherits your theme's layout. Nothing is embedded from a third-party domain, and the URL is yours to link from the menu, the footer or a redirect on a locked page.

Configuring fields

  • Company name: on by default; written to the customer's company field.
  • Phone: optional, validated for shape only.
  • EU VAT number: on Pro, validated live against VIES while the applicant types.
  • Business license upload: on Pro; PDF or image, stored against the application.
  • Custom fields: text, number, dropdown or checkbox, each saved as a customer metafield you can read anywhere in Shopify.

What happens on submit

  1. 1A Shopify customer account is created and tagged pending-approval.
  2. 2Every extra field is written to customer metafields under the prime_lock namespace.
  3. 3The application appears in the approval queue with a timestamp.
  4. 4Locks stay closed. pending-approval is not an unlock tag, so the applicant sees the same gated storefront as before.

Working the queue

Registration → Applications lists everything pending, with the submitted fields and any uploaded file inline. Filter by field value, open a record to see the full submission, and act on it. Rejecting removes the pending tag and optionally sends a short note; nothing is deleted, so the record stays auditable.

What Approve does

One click: the unlock tag you configured is applied, the pending-approval tag is removed, the welcome email is sent, and every lock keyed to that tag opens for the customer immediately. There is no second step and no manual tagging in the Shopify admin.

Auto-approval and the weekly proof email

On Pro you can set rules that approve on submission, for example any applicant with a VIES-valid VAT number in a country you sell to, or any email on a domain you list. Rules run before the queue, so only exceptions need a human. Pro also sends a weekly summary: applications received, approved and rejected, plus the number of checkouts blocked, so you can see the gate is doing its job.

What to check afterwards

  • Submit the form yourself and confirm a customer appears tagged pending-approval.
  • Confirm the locked catalog is still closed for that account before approval.
  • Approve the test application and confirm the unlock tag lands and the catalog opens.
  • Check the welcome email actually arrived, including its spam-folder behaviour on a common provider.
  • Read the metafields on the customer record to confirm your custom fields saved.
